What’s the Security Awareness Training about?

Security awareness training is a critical element of any organization’s cybersecurity strategy. If done well, it helps educate employees on security risks and best practices and how to identify and respond to potential threats.

Security awareness training can help organizations reduce the risk of data breaches, malware infections, phishing attempts, and other malicious activities.

Organizations can ensure their data is secure and protected from cyberattacks by providing employees with the knowledge and skills they need to stay safe online.

New Awareness Training Videos

Overview
We are excited to announce an update to our Awareness Training Video Library! Starting on November 16, 2024, all new campaigns will feature our newly created content, designed to enhance the effectiveness and engagement of your security awareness training. This update will roll out automatically, with no action required on your part.


What’s Changing?

  1. Migration to New Video Content
    We are introducing Guardz-created awareness training videos to replace our previous content. This new material is crafted to improve user engagement and reinforce long-term behavior change through memorable and enjoyable learning experiences.

    • Automatic Switch: The new videos will seamlessly replace the current videos in our library.

    • Continued Use for Active Campaigns: Any campaigns currently in progress have been replaced with new videos without interruption.

    • Migration of Active Templates: Templates with previous videos will automatically switch to the new versions as scheduled, keeping your campaigns on track.

  2. Improved Learning Experience
    The new content leverages psychology and visual learning principles to help users retain essential security practices more effectively, making secure behavior a natural part of their routine.


Security Awareness Training Capabilities

The main module functionality is to create Awareness campaigns with the relevant topic and send it to the account users or specific groups.

The predefined topics are built out of 2 - 4 videos in a sequence per language, where most of the videos contain follow-up quizzes.

The admin can track the progress of each campaign and later use Awareness campaigns as an educational step for issues and send it to specific users/groups as a remediation step.

The users will complete the Awareness training in the User Portal, which is supported in the following languages:

  • Dutch

  • English

  • Hebrew

  • Spanish

  • French

How to create Awareness training?

  1. Required Language:

    Choose the required language

  2. Campaign Topic:

    You can choose the campaign topic from the different suggested topics.

  3. Review Videos:

    You have the option to review the videos in the campaign by clicking on each one of them.

  4. Assign Users & Schedule:

    • Schedule Campaign:

      Set the Start Date of the Awareness training.

      If the date is set to today's date - the campaign will be sent immediately to the assigned employees.
      If you choose a start date later than today, it'll be sent between 9 AM and 10 AM on the selected date (based on your local time).

    Note: New users added to a Template after the start date will automatically receive only future campaigns within the Template. Admins can manually send any previous training to newly added users.

    • User Selection:

      Choose the users you would like to target in the campaign:

    1. Users - select specific users you want to target in your campaign. You can invite additional users after the campaign goes live.
      * This can be used for internal testing of the campaign as well

    2. Groups - select the multiple groups you want to target. The groups are being reflected from your Google/Microsoft admin account.
      Once you choose the groups, you’ll be shown the potential users to which the campaign will be assigned.

  5. Send the campaign:

    Review the message and send the email to your users:

    1. Send from Guardz - the end user will receive the Awareness campaign from Guardz’s email address.
      It’s quick and easy! But you won’t be able to edit the email - subject, copy, and email address it’ll be sent from

    2. Open in your Email - using this, your own email will open, and you’ll need to send the email from there. This will allow you to customize the email subject and the body fully. DO NOT change the URLs.

    3. Assign without Email - You can assign the campaign to the users without sending them an official email. Accessing the user portal can be done using other ways.



    4. Track Progress - Once the campaign is sent to the users, you can track the progress of the campaigns under ‘Active Campaigns’ located in the main module screen.

For each active campaign, you can view the progress of each user - when the email was sent to them, what group they're in, and their status. You can also go ahead and take action from this screen and Invite new users to the campaign or, alternatively, resend the campaign to the same users.

Awareness Issue Types and Remediations

The issues related to the Awareness Training will appear after 14 days when users still need to complete the campaign or when no campaign has been created for the user.


FAQ

Question: My client is trying to complete an awareness training but the system is saying they need approval. How do I do that?

📍Answer: Review the tenant permission settings and make sure you have granted Guardz access for all users/everyone. This setting will grant them access to complete their trainings.

Question: Some of the cloud data detections were manually marked as resolved but were not remediated. What can I do about this?

📍Answer: If the detections were marked resolved but were not properly remediated, their status will reopen after the next scan if there is still an issue and will trigger auto-remediation.

Question:Will the new videos automatically replace the old ones?

📍Answer: Yes, the transition is seamless. All campaigns created on or after November 7th will automatically use the updated videos, while any currently active campaigns will continue with the existing ones for a month.

Question: Do I need to do anything to enable this update?

📍Answer: No action is required. The new videos will roll out automatically on November 16, 2024.

Question: What happens to my Active Campaigns?

📍Answer: Active Campaigns will keep using the old videos until completed.

Question: What happens to my Active Templates?

📍Answer: Active templates with content that has already been sent to users will continue displaying the old videos for one month. After that, the old videos will no longer be available.

For any unsent content, active templates will automatically switch to the new videos as scheduled.

Question: What will happen to the old videos? Will I still be able to see them?

📍Answer: The old videos will be phased out for new campaigns and templates, but they will remain accessible for any campaigns already in progress for a month.

Question: Which languages will the new content be available in?

📍Answer: The new content will be available in the same languages as before: Dutch, English, Hebrew, Spanish, and French.

Question: Are there plans for more videos or additional content in the future?

📍Answer: Yes, we are continuously expanding our Awareness Training Video Library. In the coming months, you can expect new videos that cover advanced security topics and emerging threats, with a focus on keeping content engaging and relevant. Our goal is to provide a comprehensive library that meets a wide range of security awareness needs for all users.

Question: Can I suggest a topic for a video?
