Employee Experience: Guide to the User Portal

Learn all about your User Portal.

Your user portal is where you will complete and track security protection tasks. These tasks include:

  • Viewing quarantined emails

  • Completing security awareness training assignments

Completing these tasks will help protect sensitive company data from data breaches, malware, phishing, and other malicious activity.

Getting Started

You may have received a notification about awareness training or quarantined emails. These notifications include a link to your portal. If you haven’t received a notification, use this link: https://app.guardz.com/user-portal. You will be taken to the user portal login page.

Select Google Workspace or Microsoft 365, depending on which you use. Next, you will be prompted to sign in with your email credentials.

Sign in with your email credentials and you will be taken to your portal.

Your portal will look like this:

On the left side of the page, you will find a menu of options that will take you to security awareness trainings and quarantined emails.

Impersonation Banners, Caution Banners, and Quarantined Emails

Many cyber attacks on companies start with malicious emails.

Emails are one of the most efficient vectors attackers use because almost every company uses email and many employees receive an abundance of emails every day.

All emails you receive will be scanned for suspicious activity. If an email is considered suspicious, it will either be given a banner or it will be sent to quarantine (depending on the settings configured by your IT and/or security administrator).

Impersonation Banners and Caution Banners

There are two types of banners: caution banners and impersonation banners. A banner will automatically be added to the top of low or moderately suspicious emails. The banner will include an explanation regarding why the email was considered suspicious.

Impersonation Banners

You will receive an impersonation banner for two reasons:

1) If the sender address is one of your organization’s email addresses, but the sender alias does not match any of the users with that email address.

2) If the sender alias is similar to one of the organization’s users aliases, but the sender address does not match any of the email addresses in the organization.

Simply put, you will receive an impersonation banner if an email was possibly sent from someone pretending to be from your organization.


Caution Banners


You will receive a caution banner if you receive an email that is low or moderately suspicious (and it is not considered possible impersonation).

Within the banner, you will be able to mark the email as safe or report and delete it. If you use Gmail, the email will be moved to the trash folder. If you use Outlook, the email will be deleted forever.

Quarantine

Emails that are moderately or highly suspicious will be moved to a quarantine area inside your portal. You will then receive an alert email (note: you can access the quarantine area at anytime and don't have to wait for an alert email). The alert email will contain key information about the quarantined email (to, from, subject, date, time, and whether or not there are attachments).

If you believe the quarantined email is nonthreatening and legitimate, select "Review." This will open your user portal where you can safely view all of your quarantined emails, the contents of the emails, and take action.

These are the action options:

Restore - The email will be delivered to your inbox.

Trash - The email will be deleted and won’t reach your inbox.

💌 Did you know? You are not required to take any action on quarantined emails. Quarantined emails will be automatically deleted after a designated period of time (the time will be noted in your alert email).

Awareness Training

Learning security skills and best practices is a critical step in protecting yourself and your organization from potential threats.

Your IT and/or security administrator will give you awareness training assignments. Follow these steps to access the assignments:

Step 1: Receive email notification

You will receive an email notification when your IT and/or security administrator adds an assignment. The email will be sent from their email address or from "sec-portal.io."

Step 2: Access your user portal

Select "Start your Training." This will take you to your portal.

Inside your portal, the assignments will be located in the awareness training center.

Uncompleted assignments will have a white background and will list how many days you have left to complete them. Completed assignments will have a green background. Overdue assignments will have a white background with red text.

Step 3: Start the training

Select an uncompleted assignment. This will start a video.

Make sure to pay close attention; at the end you may be quizzed on your understanding of the topic.


Step 4: Complete the training

When you watch each video in an assignment and correctly answer all the related questions, you will complete the assignment.
