When utilizing an additional email protection service alongside Guardz (like Mimecast, Proofpoint, etc.), you might encounter a situation where emails aren't delivered or received due to conflicts or connectivity problems between the different email protection services.

For example, if you're using MimeCast as your email protection, you may notice that the 'email current status' shows the value: Unable to connect to remote host, and the information reads Connection timed out.

To fix this, log in to your Microsoft admin console at Exchange Admin Center and add an exclusion rule for the recipient address:

Select Only when email messages are sent to these domains if you have validated all domains.

Important:

If you have only validated some of your domains, you must create a Transport rule and select Only when I have a Transport rule set up that redirects messages to this connector option.

Managing Spam Emails When Using Multiple Email Protection Services

When using another email protection service like Mimecast or Proofpoint alongside Guardz, it’s crucial to ensure that spam detection settings are properly managed to avoid conflicts.

Key Considerations for Spam Detection:

  • Guardz includes a Spam Detection Toggle, allowing you to enable or disable spam detection under the "Email Protection Scan" settings. Disabling spam detection in Guardz may help prevent conflicts with the spam filtering features in other protection services.

  • Customizable Spam Handling in Guardz allows you to control how spam is managed. You can set Guardz to:

    • Add a caution banner and move spam emails to the junk/spam folder.

    • Quarantine spam emails.

    • Add a caution banner only.

By configuring these settings, you can reduce the likelihood of spam filtering overlap or conflicts between Guardz and your other protection service.

Best Practice:

If both Guardz and your other email protection service are flagging the same emails as spam, you may experience duplicate spam actions. To streamline this, you can consider adjusting the spam handling rules in either service to avoid redundancy. Guardz offers the flexibility to customize spam handling per customer or domain, making it easier to manage email security without unnecessary disruptions.
